Christmas party for the children of asylum seekers and refugees
Communitylinks is looking for volunteers for their Christmas party this upcoming weekend, 8th December, at the Aegerihalle in Unteraegeri!
The CommunityLinks 2024 Christmas Party for the children of refugees and asylum seekers of the Canton of Zug is taking place on the 8th of December 2024! They're counting on us for a magical afternoon filled with games, music, a delicious buffet, and, of course, a special visit from Santa!
The children will enjoy music, activities and eat pizza and treats in the Aegerihalle in Unterägeri from 2:00 pm to 5:30 pm.
Volunteers are needed to help organise and run this fantastic Christmas party. We need assistance leading up to the party, as well as on the day. We are expecting close to 280 children who are refugees and or asylum seekers in our canton, together with their families (approximately 560 guests in total)! This is our biggest party ever!!

Some of the tasks with which we need assistance include wrapping presents, creating table decorations, providing food and drinks, setting up the room, preparing and serving food onsite, welcoming the families, Santa's helpers, and the clean-up at the end of the evening.
The full list of opportunities includes the following:
Food donations -- If you would like to make a food donation, there are plenty of opportunities!
We need lots of sweet and savoury items. Donations can be brought directly to the party venue in Unterägeri on the day of the party (8th December) between 10:30 am and 1:15 pm. If you are unable to drop off directly at the venue at that time, please contact us to discuss possible alternative drop off times/locations.
Table decorations -- We need 40 small table decorations. This is a great opportunity for kids to help kids, a class project, or a team building event! The decorations do not need to be extravagant - just something nice to help us make the tables look festive. The decorations will be given to the party attendees at the end of the party.
You can sign up for the number of decorations you would like to contribute! Decorations can be brought directly to the party venue in Unterägeri on the day of the party (8th December) between 10:30 am and 1:15 pm. If this isn't possible, we can try to organise a collection on another day.
Party helpers -- We need helpers to facilitate a smooth set-up and party, as this will be one of our biggest parties in the last several years. We are expecting 560+ guests!
Please note: For safety reasons, we kindly request that volunteers working at the party itself should not bring their children with them. CommunityLinks cannot provide supervision while their parents are carrying out their tasks. Thank you for your understanding.
Set up Team -- 10.00 am - 1.30 pm. We will need to set up tables and chairs (including decorating), organise gifts, and prepare the Christmas trees. We need to move quickly to get the room prepared, as guests sometimes arrive early!
More details will be provided on the day.
Kitchen Team -- 12:30 – 5:30 pm. You will be responsible for receiving the food, organising it and preparing it for the buffet tables, warming the pizzas, and cleaning up the kitchen at the end.
We will provide more information on the day.
Welcome Team -- 1:15 pm – 3:00 pm. You are asked to arrive in good time so that we can provide some training on the registration process! Guests sometimes arrive early, so we want to make sure you are all ready to go in case they do! We will have a process in place for checking in the guests: we need to direct them to stroller/pram parking, to the place to hang coats and must sign them in at the registration desk.

Santa’s Helpers – 2:30 pm – 5:30 pm. Your job is to help out on the stage during Santa's gift distribution. Some of the tasks will include organising and bringing the gifts to Santa, or helping to manage the children through the Santa visit process. Santa will speak to each child and give them their gift. We will provide more details on the day. – Please ensure that you arrive on time. Santa arrives at 3:00 pm, and we want to make sure everything is ready to go! We may not need you beyond 5:30 pm if the process runs smoothly.
Extra Helpers – 10:30 am - 6:00 pm (two possible shifts). Your task will be determined on the day, and may change as needed. You will fill in where we need extra hands or if a volunteer from another slot does not turn up. Jobs may include giving other volunteers a break, helping with the games tables, managing the photo booth, etc.
Clean-up Team – 5:30 pm – 7:00 pm. Helping to put away tables and chairs, sweeping the floors, and a general clean-up of all party materials, so that we can leave the room in the same state that we received it. The party officially ends at 5:30 pm, but it may be we can start a little early. It all depends on how fast Santa is able to visit with each of the 280+ children!
There are a few additional jobs that need to be filled, including first aid, photo booth and face painting!
